When you use ProfitTrackr, we collect the following types of information:

Name, email address, authentication credentials, and subscription status

Company name, address, phone number, website, and tax identifier when you provide them

Business Data:
Job details, expenses, income records, time entries, quotes, invoices, client information, and notes

Receipt Information:
Receipt images and the merchant, amount, date, category, and line items extracted from them when you use receipt scanning

Purchase and Payment Information:
Subscription product, purchase status, transaction identifiers, and payment status. Card details are processed by the applicable payment provider and are not stored by ProfitTrackr

Usage and Diagnostic Data:
App interactions, crash logs, performance traces, and related diagnostic information used to maintain and improve the service

Device Information:
Browser or app version, operating system, device model, and technical identifiers used for compatibility, security, and diagnostics
2. How We Use Your Information
We use your information to:
- Provide and maintain ProfitTrackr services
- Process payments and manage subscriptions
- Send important service updates, account emails, and notifications
- Scan receipts and extract expense information when you request OCR processing
- Generate profit/loss reports and tax summaries
- Improve app performance and user experience
- Provide customer support
3. Data Security
We implement industry-standard security measures including:
- SSL/TLS encryption for all data in transit
- Access-controlled storage and encryption in transit
- Hashed passwords and secure on-device storage for authentication tokens
- Regular security audits and updates
- Secure cloud hosting with automatic backups

4. Data Sharing
We never
sell, trade, or rent your personal information. We only share data with:

Infrastructure and Storage Providers:
Hosting providers operate our application infrastructure, and Wasabi stores receipt attachments

AI Processing:
OpenAI processes receipt images only when you request OCR extraction

Diagnostics:
Sentry processes crash, performance, device, and app-interaction diagnostics to help us identify and fix problems

Communications:
Resend processes account and service emails sent on our behalf

Payments and Subscriptions:
Stripe processes web payments and payment links. Google Play and Apple process mobile in-app purchases and provide transaction and subscription information needed to verify access

Legal Requirements: When required by law or to protect our rights

Business Transfers: In case of merger or acquisition (with notice)
5. Your Rights
You have the right to:
- Access all your personal data
- Correct or update inaccurate information
- Request deletion of your account and data
- Export your data in common formats

6. Data Retention
We retain your data as long as your account is active. After account deletion, we may retain certain information for legal compliance and fraud prevention for up to 7 years.
7. Mobile App
Our mobile app may request additional permissions:
- Camera access for receipt scanning (optional)
- Photo library access for receipt uploads (optional)
- Notifications for important updates (optional)
All permissions are optional and can be managed in your device settings.
Receipt images are sent to our servers when you choose to upload them. If you choose OCR scanning, the image is also sent to our AI processing provider to extract expense details.
8. Children's Privacy
ProfitTrackr is not intended for users under 18 years of age. We do not knowingly collect information from children.
9. Changes to This Policy
We may update this policy occasionally. We'll notify you of significant changes via email or in-app notification.
